What Makes a Great Discord Meeting Bot?
Most tools marketed as a "Discord meeting bot" focus on scheduling that help you set reminders, create calendar events, and send RSVPs. That is useful, but it solves the wrong half of the problem. Knowing when a meeting happens is easy. Capturing what was said during the meeting is the hard part.
NotesBot is a Discord meeting bot built for documentation, not scheduling. It sits in your voice channel alongside your team, records every participant on their own 48 kHz stream and sends it to a top-tier speech model, and produces a clean set of meeting notes the moment you finish. Every discussion point is transcribed, organized under topic headers, and paired with concrete action items so nothing slips through the cracks.
Where other bots stop at helping you start a meeting, NotesBot helps you finish one. The result is a searchable record of every decision, every responsibility assigned, and every idea raised posted right into your Discord channel where your whole team can review it. No third-party app required, no manual note-taking, no guesswork about who agreed to do what.
Meeting Workflow with NotesBot
Schedule Your Meeting
Coordinate with your team and pick a time. Use any scheduling tool you already rely on like Google Calendar, a Discord event, or a simple message in your channel.
Join Voice and Type /join
When the meeting starts, hop into your Discord voice channel and run the /join command. NotesBot enters the channel and begins recording every speaker automatically.
Run Your Meeting Naturally
Discuss agenda items, make decisions, and assign tasks the way you normally would. NotesBot captures everything in the background with speaker detection. No interruptions, no setup.
Type /leave When You're Done
End the recording with /leave. NotesBot processes the audio, generates a full transcript with speaker labels, and builds an AI-powered summary organized by topic.
Review Notes in Your Channel
Within minutes, NotesBot posts structured meeting notes in the channel your server sends notes to. The summary includes discussion highlights, action items, key decisions, and speaker attribution. By default the notes arrive in a thread under the text channel they post in rather than as loose messages, and /config switches that to plain messages. The transcript comes with it as a timestamped .txt file in Discord, and the whole call is archived on your dashboard at notesbot.io.
Features Built for Meetings
Smart Summaries
AI-generated meeting notes organized under clear topic headers with emoji markers. Every key point is captured, condensed, and structured for quick scanning.
Action Items & Next Steps
NotesBot automatically identifies tasks, responsibilities, and deadlines discussed during the meeting and groups them into a dedicated action items section.
Speaker Attribution
Know exactly who said what. Speaker diarization labels every statement so your meeting notes accurately reflect each participant's contributions and commitments.
Custom Prompts
Use /config to tailor the summary output: technical decisions, budget discussions, deadlines, or any topic your team cares about. It applies to the recordings billed to you, since settings come from whoever's plan pays for the recording.
Team-Wide Access
Meeting notes post in the channel your server sends them to, so every team member, whether they attended or not, catches up in the place they already read. An admin sets that channel in /setup under Where notes go.
Full Transcripts
Access the complete word-for-word transcript with timestamps and speaker labels. Search for specific topics, verify details, or archive the full conversation for your records.
Perfect for Every Team Meeting
Teams run many types of meetings, and each one benefits from reliable documentation. NotesBot adapts to whatever your team needs.
Daily Standups
Capture quick status updates, blockers, and priorities without pulling anyone away from their work to take notes. Review yesterday's standup anytime.
Retrospectives
Document what went well, what needs improvement, and the action items your team agrees on. NotesBot makes retro feedback searchable and actionable.
Sprint Planning
Keep a clear record of story discussions, priority decisions, and scope commitments. Refer back to planning notes when questions arise mid-sprint.
Brainstorming Sessions
Ideas fly fast during brainstorms. NotesBot captures every suggestion and attributes it to the right person, so no creative spark gets lost.
All-Hands & Announcements
Large meetings with many attendees generate a lot of information. NotesBot distills lengthy all-hands calls into concise summaries that anyone who missed the meeting can read in minutes.
Client & Stakeholder Calls
When external stakeholders join your Discord server for a call, NotesBot ensures every requirement, piece of feedback, and follow-up task is documented accurately.
Custom Prompts for Meetings
Every team has different priorities when it comes to meeting notes. A product team wants decisions and user stories. An engineering team wants technical details and architecture choices. A leadership team wants high-level outcomes and budget implications.
NotesBot's /config command lets you write your own summary prompt. It completely replaces the default one rather than adding to it, so write the whole brief: which sections you want, in what order, and what to leave out. The Meeting and D&D templates are there to edit, which is the safe way to say "same as usual, but lead with deadlines".
These custom prompts persist across meetings, so you set them once and every future recording billed to your plan follows the same structure. The prompt is personal, not server-wide: settings come from whoever's plan pays for the recording, so on a team-billed server it is the account holder's prompt that shapes every recap. When your meeting focus changes, say you switch from sprint planning to a retrospective, update it with a new /config.
If you want one prompt for the whole server regardless of who is paying, that lives on your server page in the notesbot.io dashboard, alongside the other server-wide settings. See the settings guide for which ones sit where.
Set the Server Up Once
A team with #eng-standup and #design-sync does not want both recaps landing in the same place, and it should not need a plan each. Both are settings an admin makes once from /setup in Discord.
One plan covers the server
One plan can cover the whole server. An admin opens /setup, goes to Team & billing, names the account holder and an optional role, and the account holder accepts by DM unless they set it up themselves. Leave the role empty and only the account holder can record.
Nothing is billed until the account holder says yes, and ending it later leaves their own plan and hours untouched. How team billing works.
Notes land where you want them
An admin can send every call to one channel from /setup, under Where notes go, and give a single voice channel or a whole category a place of its own.
The closest match wins, so a voice channel beats its category, and Preview shows you the answer before a single call is recorded. Where notes go.
The Meeting That Records Itself
Step 1 above is the one people forget. A standup at the same time every day, or a weekly all-hands, does not need anyone to remember /join at all.
Auto-record needs team billing switched on first. After that an admin picks the voice channels NotesBot joins on its own, and an announcement channel where those calls post their notes.
Turn on team billing first
Auto-record is only available once one plan covers the server. Open /setup, go to Team & billing, name the account holder, and wait for them to accept. Until that is live, the Auto-record page is a pointer back to it.
Pick the voice channel
On the Auto-record page, choose your standup voice channel. NotesBot joins it on its own when someone it starts for arrives, and stops when the last person leaves.
Choose an announcement channel
You pick this explicitly, and it is where the notes from those hands-free calls post. Nothing starts until you have chosen one.
Add anyone else it should start for
By default only the account holder, and anyone holding the role you authorized, sets it off. Adding someone never switches auto-record on by itself, and switching it off later does not stop a recording already under way.
The full Auto-record walkthrough covers what happens when billing lapses and who can stop a running call.
Frequently Asked Questions
What does a Discord meeting bot actually do?
A Discord meeting bot joins your voice channel to help automate meeting documentation. NotesBot specifically records the conversation, transcribes every speaker, and generates a structured summary with action items, key decisions, and discussion highlights, posted back into Discord when the meeting ends. By default the notes arrive in a thread under the text channel they post in rather than as loose messages, and /config switches that to plain messages. The transcript comes with it as a timestamped .txt file in Discord, and the whole call is archived on your dashboard at notesbot.io.
How do I start recording a meeting with NotesBot?
Join any voice channel in your Discord server and type /join in a text channel. NotesBot will enter the voice channel and begin recording immediately. When your meeting wraps up, type /leave and NotesBot will process the audio, transcribe the conversation, and deliver your AI-generated meeting notes within minutes.
Can NotesBot tell who said what during the meeting?
Yes. NotesBot uses speaker diarization to detect and label individual speakers throughout the recording. The transcript and summary attribute statements, ideas, and action items to the people who said them, so your meeting notes are clear and accountable.
Is NotesBot free to use for Discord meetings?
Each Discord account gets a one-time 30-minute free trial with no credit card, and it does not renew. Paid plans run from $3 to $40 per month, 5 to 100 hours of recording. There is also Annual at $96 a year: 240 hours for the year, granted up front. Hours reset each cycle and do not roll over.
Can I customize the meeting notes NotesBot generates?
Absolutely. Use the /config command to write your own summary prompt. It completely replaces the default one rather than adding to it, so describe the whole write-up you want; the Meeting and D&D templates are there to start from and edit. /config is a personal panel, and settings come from whoever's plan pays for the recording, so a prompt you set applies to the recordings billed to you. A prompt for the whole server is set in /setup, on the Overview page, or on the dashboard server page.
